ApexSmartAI is a 24/7 English + Spanish answering service for property management companies. It answers your calls — prospective residents, current residents, owners — captures the property, the unit and what the caller needs, and sends the details straight to your team by SMS and email.
Maya is one of our AI receptionists — call her and you're hearing the product itself, while she answers your questions on pricing, setup and getting started.
A prospect who saw your listing calls at 6:40 on a Tuesday. If nobody picks up, they call the next listing. The unit stays empty another week, and the owner sees the vacancy — not the missed call.
A resident calls at 11 at night with water coming through a ceiling. Every hour that call sits in voicemail, the repair gets bigger and the owner gets angrier.
And a lot of those calls are in Spanish, from residents who will simply hang up on an English-only line.
Staffing a phone from seven in the morning to eleven at night, seven days a week, is not one receptionist — it is several. Most management companies cannot justify it, so the phone goes to voicemail and everyone learns to live with it.
That's where ApexSmartAI comes in.
Before we wrote a word of this page, we read the public Google reviews of 122 property management companies across six U.S. cities — Atlanta, Charlotte, Nashville, Baton Rouge, Fresno and Richmond — looking for one thing only: a resident or a prospect saying they called and nobody answered.
Google reviews read, one at a time
companies had a public review from someone who could not reach them
more than four in ten of the companies we looked at — that review is on their profile right now
We ran the same test on home-service companies — plumbing, HVAC and related trades — and found it on about one in four. Among property management companies it is close to double. The full method, the city-by-city numbers and the limits are here →
How to read this honestly: we counted reviews, not missed calls. No tool can measure from the outside how many calls a business misses, and we don't pretend otherwise. We also only read each company's twenty lowest-rated reviews, and for 47 of the 122 that was not deep enough to reach the end of their complaints — so four in ten is a floor, not a ceiling.
Your residents write the reviews. The owners deciding who manages their buildings read them.
A property management phone is not like a contractor's phone. Two completely different people call the same number, and they need different things. The receptionist is set up to tell them apart.
Someone who wants to rent. This call is revenue. The receptionist asks which property they are calling about, when they are looking to move, and how to reach them — then the enquiry lands with your leasing team while the prospect is still interested, instead of at nine the next morning when they have already toured somewhere else.
Someone who already lives there. This call is cost and liability. The receptionist establishes the property, the unit, and what is happening, and follows the urgent-call rules you set — routine requests wait for the office, a burst supply line does not.
Owners calling about their own properties are handled the same way — identified, captured, and routed to whoever in your company actually handles owner relations.
ApexSmartAI answers your calls like a professional leasing and resident-services receptionist, so calls don't sit in voicemail overnight — day, night, weekend, in English or Spanish.
Your team wakes up to a list of names and numbers, not a voicemail box.
Someone calls your office — a prospect, a resident, or an owner — day, night, or weekend.
ApexSmartAI answers in English or Spanish, works out who is calling and about which property, and captures the details.
You get it by SMS and email, usually within about a minute — urgent calls routed the way you told us to route them.
We build and set it all up for you — you don't touch a thing.
One flat plan — $499/month plus a one-time $395 build & launch fee. Up to 1,000 call minutes included, then 40¢/min. Month-to-month. For most businesses it pays for itself with one saved job a month. See the full pricing →
Three ways a management company can handle the calls it cannot pick up. Here is what actually differs between them.
| Voicemail | Traditional answering service | ApexSmartAI | |
|---|---|---|---|
| Answers at 11 PM | Takes a message, if the caller leaves one | Usually yes | Yes, 24/7 |
| Spanish | No | Varies by provider — sometimes a paid add-on | Included, 24/7, and the caller can switch mid-sentence |
| Two residents call at once | Both leave messages | One waits on hold | Both can be answered at the same time |
| Knows which property and unit | Only if the caller says so | Only if the operator is briefed on your portfolio | Asked on every call and recorded on every message |
| Urgent versus routine | You sort it out in the morning | Varies by operator | Follows the rules you set at onboarding, including escalation |
| What you receive | A recording you have to listen to | A message, usually short | Name, number, property, unit and the problem in the caller's words — by SMS and email |
| How it is billed | Included with your line | Commonly per minute, which rises in a freeze, a storm, or a turnover week | $499 flat, 1,000 minutes included, then 40¢/min |
| Can you test it before buying | — | Usually a sales call first | Call the number on this page right now |
The middle column describes what is common in the category, not any one company. Compare any specific quote against your own numbers — our article on how per-minute and flat-rate answering pricing diverge uses a plumbing example, and the arithmetic is the same for a portfolio with a bad weather week.
This is an example, not a recording: it shows the questions the receptionist asks on a resident emergency and the message your team would receive. Want to hear the real thing? Call Sarah on the demo line above. She is set up for a sample HVAC company, but the way she asks, confirms and sends the details is the same.
The caller switches language mid-call:
“Of course, Daniela. Let's continue in Spanish. I've already marked your call as urgent and the on-call team will contact you on this number.”
“I can't give you an exact time because I'm not the one who assigns the technician, but your call is already marked urgent and the team has your number.”
| Name | Daniela Ortiz |
| Property | Northgate Commons, Rosemont |
| Unit | 214 |
| Issue | Water coming through the bedroom ceiling, next to the light fixture. Worsening. |
| Urgency | Urgent — water near a fixture |
| Language | Switched to Spanish |
This is the message your on-call team receives — by email and text, with the details exactly as they were spoken.
Notice what she does not do: she never promises a technician by a certain hour, and she never says a work order was created. Our receptionists are not allowed to claim an action they cannot confirm — that rule is built in, not left to chance.
Maya is one of our AI receptionists. One call does both jobs: you hear the exact quality your own callers would get, and she answers everything you want to know about pricing, setup and getting started. Yours is built around your company — your properties, your office hours, your urgent-call rules, exactly as you describe them at onboarding.

$499 a month, plus a one-time $395 Custom AI Receptionist Build & Launch fee. Your first invoice is $894. That includes up to 1,000 call minutes a month; beyond that it is 40¢ a minute. Month-to-month, cancel anytime. The price is the same for every customer and it is published here rather than hidden behind a sales call.
The call is answered, not queued. The receptionist establishes which property and unit the resident is calling from, what is happening, and whether water or power is involved, and passes on the immediate steps you want residents told — for example where the unit shut-off is, if you have given us that. From there it follows the urgent-call rules you set at onboarding, including escalating to your on-call maintenance contact when you have configured that. It does not decide on its own what counts as an emergency; you define that.
Those are answered too, and they are the calls most companies lose to voicemail after five o'clock. The receptionist asks the questions you choose — which property they are calling about, when they want to move, how to reach them — and the enquiry lands with your leasing team by SMS and email while the prospect is still interested. It does not quote rent, promise a unit or book a showing — it captures the enquiry for your leasing team, and it never claims to have done something it has not done.
Yes. The receptionist asks which property the caller is calling about and records it on every message, so a company managing thirty buildings gets each call tagged to the right one. You can also route different properties to different people. It is set up around your portfolio at onboarding.
It holds the conversation in Spanish, and the caller can switch language in the middle of a sentence. You do not have to take our word for it — call the demo number on this page and start speaking Spanish partway through.
No. You keep the number on your listings, your signage and your lease paperwork. Your existing line simply forwards to us when nobody in your office picks up. One code dialled on your own phone turns it on, and one turns it back off. We walk you through it together on a call and then test it with you.
Calls can open with a spoken recording disclosure, configured per business to match the consent rules of the state you operate in. It is set during onboarding, not left to chance.
It is month-to-month with no long-term contract — you email us and all future charges stop. Our terms page spells out exactly what is refundable and when, including what happens if you cancel before we start building. We do not guarantee revenue or results, and we do not claim every call will be handled perfectly.
Written for operators, not for search engines. No email required.
One call does both: you hear exactly how our AI sounds, and you get every question answered — in English or Spanish.
No pressure, no obligation. We'll show you how it works and answer your questions.
